Emergency Operating Procedures:

Effective Immediately

The following message was sent on April 1st, 2020, from HUD (Georgia Multifamily Business Partners):

“Good Morning/Good Afternoon,

As you may or may not know, the Atlanta Regional office and Jacksonville satellite offices have been vacated due to the COVID-19 global pandemic. Both offices remain open for business to be conducted remotely, but HUD staff is not conducting physical operations in either of those offices.

Effective immediately, the Southeast Region Multifamily Production Division is operating under emergency procedures. Until further notice, we ask all lenders to take the following actions for projects in the Southeast Region:

Please do not send any packages to the Atlanta or Jacksonville offices.
The email address for the Southeast region is southeast.production@hud.gov and will be hereby referred to as the SE Region shared mailbox.

The SE Region will continue to receive Concept Meeting packages, FHA Project Number requests, electronic applications, and Closing documents in the following formats:

Please send a link to all new Concept Meeting packages to the SE Region shared mailbox.

Please send all FHA Project Number requests to the SE Region shared mailbox.

Please send a link to all incoming applications to the SE Region shared mailbox. Be sure to include project information (i.e. project name, FHA#, SOA, etc.) in all email submissions.

Please do not send processing documents related to applications already in the pipeline to the SE Region shared mailbox. Continue to communicate (via email) with your assigned Project Management Teams regarding the status of applications already in the pipeline. Assigned Underwriters and Technical Disciplines will provide weekly updates to lenders regarding applications already in the pipeline.

Robert (Bob) Doran, Senior Underwriter will coordinate the Closing process for transactions generated in the Atlanta office. Please send emails request and links to Closing documents for transactions that are generated in the Atlanta office to Robert.E.Doran@hud.gov with a cc to Barbara.S.Williams@hud.gov. Thelma Robinson, Program Assistant will coordinate the Closing process for transactions generated in the Jacksonville office. Please send email requests and links to Closing documents for transactions generated in the Jacksonville office to thelma.a.robinson@hud.gov with a cc to Barbara.S.Williams@hud.gov.

The Jacksonville office will continue to schedule and conduct Concept Meetings for projects located in Alabama, Florida, and Mississippi as normal.

In-person Concept Meetings will be cancelled until further notice, and all Concept Meetings will be conducted via Conference call. Concept Meetings will be scheduled in the order they were received.
